7 productivity techniques I actually use every day

People ask me all the time how I keep so many things running — the podcast, coaching clients, a household, a family with its own chaos built in (as well as music gigs).

The honest answer is that I don't do anything magic. I have a handful of approaches I rely on daily, and I've stuck with them because they actually work for how my brain operates.

Today I want to share a few of them with you for inspiration. Feel free to take what works and leave the rest.

Here are some approaches worth considering:

Mind sweeping. Before you can choose what matters, you need to get everything out of your head and into a safe space. This isn't your to-do list — it's everything floating around in your brain, captured so you can process it when you're ready. A notebook, a notes app, anything works. The point is getting it out, not organizing it yet.

The 80/20 principle, applied honestly. About 80% of your results tend to come from 20% of your effort. If you look at your task list through that lens, you can usually spot the handful of things that will move the needle most — and let the rest wait.

One to three things a day, decided in advance. Once you've spotted your 20%, narrow it down to your most important tasks for the day. Not ten things. Two or three. The goal isn't to do less because you're capable of less — it's to stop pretending you can do everything at once.

Templates for anything you repeat. If you find yourself writing a similar message, post, or email more than once, that's a sign you need a template, not a memory upgrade. Save yourself the time and the mental energy of rewriting things you've already figured out how to say.

None of this requires a complicated system or an expensive tool. It requires deciding what matters, getting it out of your head, and giving yourself permission to focus on a few things instead of everything.
